Refund policy

Terms and Conditions

Cancellation or Alteration
Sessions usually to go ahead even in wet and cold weather, so just wrap up warm or ask for advice about what to wear.

NWL reserves the right to cancel, postpone or alter sessions at short notice, especially in the event of dangerous weather conditions. These include but are not be limited to: very high winds, sideways rain, electrical storms and snow as forecast. If NWL cancels or postpones a session due to weather, a replacement date will be offered or full refund given.
If the Customer cancels their place in a Session less than 2 weeks before the date, no refund will be given. At the Leader’s discretion a new date may be offered and an admin fee proportionate to the Session cost will be levied. Please bear in mind we are a small social enterprise and will have committed staff whom we need to pay and resources that cannot be allocated elsewhere.

If the Organiser cancels a Session within 10 days of the agreed date, 50% of the agreed fee will be immediately be payable. After this date, the whole fee is due. We will refund you as soon as we can or within 10 days. This does not apply to camps i.e. events with an overnight element.

If the Organiser cancels ten days or less, before the booked event/session, no refund is due. If they cancel more than ten days before the event, then up to 50% may be refunded if a replacement participant can be found. This does not apply to camps i.e. events with an overnight element.

For camps. If the event is cancelled by NWL then all monies will refunded, minus a 10% administration fee.
If the organiser cancels their place, then the following terms apply:

  • deposits are ONLY refundable if NWL cancels the event. In that case, a 10% administration fee may be retained.
    • for cancellations more than a month before the event, then 50% of the total cost of the camp will be refunded.
    • for cancellations less than a month before the event, 100% of the payment is still due, unless a person can be found to take the place of the one being cancelled.

Payment
Terms of payment to NWL will be laid out the relevant online booking pages or booking forms. Usually payment MUST be made before events and if not, a space on a course / session cannot be guaranteed. If it is for site hire a separate agreement will be made agreed with the Customer, usually a 25% deposit beforehand and the full payment within 14 days of the session date.

Insurance
NWL has public liability and employers liability insurance. Details can be seen on request.
We are NOT liable or covered for your personal possessions so please do not bring valuables
We advise that event hirers / organisers check their own insurance with regard to personal liabilities and make their own arrangements.

Travel and Parking
NWL does not provide transport unless it is a planned part of a project, in which case an agreement with an appropriate provider will be made.

Parking is provided at the parking area part way up the track to the Young Wood base. No vehicles should be brought to camp area unless this has been agreed with Staff.

Health
Please notify NWL at the time of booking if there are any person has any dietary, or medical condition, allergy or disability that may affect his or her involvement, so that necessary arrangements can be made to accommodate the condition.

Whilst NWL will make their best efforts to accommodate every person, we cannot guarantee that these requirements will be met.

Conduct of People
All Persons and Organisers are asked to have respect for the place and for the Staff who work with them.
It is the responsibility of all Persons and Organisers to look after their own bags and effects. Please do not bring valuable electrical gadgets, which may damaged by rain, mud or impact.

Where an Organiser is acting in loco-parentis, that Organiser is responsible for the welfare of the Persons in the group.

NWL reserve the right to terminate a Persons activity should staff assess they be causing damage, or likely to cause damage, to themselves, to others or to the environment or equipment.

Persons and Organisers must be prepared for the outdoor environment by wearing old clothes, trainers, boots, waterproofs, sun hat etc.

The Young Wood base is generally a dog-free zone, so no dogs should be brought unless express permission has been given by NWL Staff.

NWL shall mean Neroche Woodlanders Ltd whose registered address is 10 Sunnyside, Awliscombe, Honiton, Devon EX14 3NX (Industrial Provident Society,Register no. 31925R);
Staff / Volunteers / Leaders shall mean: persons that hold relevant qualifications, are experienced and have current CRB / Disclosure and Barring Check. Further details can be provided on request;
Person shall mean children, young people or adults attending a session or course;
Organisers shall mean the parent, guardian, responsible adult or person otherwise in loco-parentis of the person attending the course;
Session shall mean the times booked on the booking form.
