At Wild Roots Outdoor Adventures Wales, we are a community-focused business, and we value every person who books with us. We aim to be as fair and flexible as possible.

Our cancellation policy is designed to be clear and simple, allowing us to manage our sessions effectively while being understanding of our customers' needs. Please read it carefully before booking.

1. Cancellations Made 48 Hours (or More) in Advance

We know plans can change. If you need to cancel your booking, please let us know at least 48 hours before your session's scheduled start time.

We will happily offer you the choice of:

A full refund to your original payment method.

A free transfer (a 'swap') to another available session of the same value.

1. Cancellations Made Less Than 48 Hours in Advance

We are unable to offer a refund or a free transfer for cancellations made within the 48-hour window before the session starts.

Why? When a booking is made, we secure your place. In the final 48 hours, we have already confirmed staffing, prepared materials, and it becomes very difficult for us to fill the empty spot.

However, you still have options:

Transfer Your Space to a Friend: You are more than welcome to find someone else to take your place. Just let us know the name, email, and contact number of the person attending in your place so we can update our register.

Talk to Us: While we cannot guarantee a transfer, if we have a waiting list for the session and can successfully fill your spot, we will gladly offer you a credit for a future session.

1. Cancellations by Wild Roots Wales (e.g., Bad Weather)

We will always endeavour to run our sessions as planned. As a Forest School and outdoor business, we are prepared for most weather!

However, we may have to cancel a session due to extreme or unsafe weather conditions (e.g., high winds, thunderstorms) or other unforeseen circumstances (like staff illness).

If we have to cancel a session, we will contact you as soon as possible and you will be offered the choice of:

A full refund.

A free transfer to any other available session.

1. A Note on Emergencies & Fairness

We are all human, and we understand that genuine emergencies happen. If you have to cancel at the last minute due to an unavoidable emergency, please get in touch with us directly. While our policy states no refund, we will always review exceptional cases with fairness and discretion.
