In this post, we’ll explore how to streamline the process using Bookwhen and tips on optimising your course setup for both online and offline training sessions.

Understanding Your Training Needs

When planning a training course or workshop, the first step is to decide whether it will be held online or in person. Each format has its own set of requirements:

💻 Online Training

  • Requires an online platform to host the training, such as Zoom or Microsoft Teams. Be sure to review the key features and capabilities of the video conferencing tool you choose to ensure it meets your needs, such as screen sharing or chat functions for interactive learning.

  • Share course materials by including links to online resources or instructional videos in the event details or confirmation emails. This way, attendees can access everything they need at their convenience, ensuring they’re prepared for each session.

💪 Offline Training

  • Requires a physical venue, which can range from a classroom to a conference hall.

  • Ensure that the venue is equipped with the necessary tools (projectors, whiteboards, etc.).

  • Printed materials or physical handouts may be needed, which involves additional logistics.

Creating Your Course

  • Start by logging in to your Bookwhen account. Under scheduling, select "Add a new entry" to create the event.

  • Fill in the necessary details, such as title, description, and dates. Before setting up the ticket options, you must add multiple dates/times in the "Dates & Times" tab.

  • Ensure you tick the "Course ticket" checkbox when setting up your ticket options. This will group all of the dates and times you added to the entry under one ticket, meaning that when customers add the ticket to the basket, they will be auto-enrolled on each date and time.

Managing Attendees and Materials

  • Add any necessary materials (links to resources, etc.) directly to the booking confirmation message and/or the private online event information.

  • If you are on the Standard plan or above, you can utilise the reminder email option to remind attendees about the upcoming event. Otherwise, you may wish to export attendee email addresses to contact them directly. If choosing the latter, please be mindful of GDPR regulations.
